How does automated rostering work for Khan Academy Districts accounts?
Khan Academy accounts who are part of a partner district in the Khan Academy Districts program have access to automated rostering via Clever and ClassLink.
Please note: this article does not apply to Enterprise Starter customers. Please view this article to learn more how rostering works for Enterprise Starter plans.
Here are some fundamental aspects of how Khan Academy Districts accounts receive roster information from Clever and ClassLink:
1. The Khan Academy system syncs with Clever and ClassLink every weeknight.
- Changes made to your district's Clever or ClassLink roster need to sync overnight in order to show up on Khan Academy.
- If the changes you make to your Clever or ClassLink roster are more than 50% of the existing totals on Khan Academy, the roster change will not go through and a member of the Khan Academy team will be in contact with you to ensure those changes are intended.
- For more information on how to set up your roster data on Clever and ClassLink, check out these articles: Khan Academy Districts + Clever set-up guide and Khan Academy Districts + ClassLink set-up guide
2. Khan Academy occasionally pauses rostering:
-
Rostering is paused to honor the winter holidays and office closures. These include: Thanksgiving and the last two weeks of December through early January.
- We will attempt to proactively communicate with districts in cases where rosters are paused. Any roster changes made over the holiday breaks will be reflected on Khan Academy when the Khan Academy offices reopen.
- Note: We may pause rostering over the summer break to ensure that students and teachers maintain access to Khan Academy during this time. However, typically, your rosters will continue to process nightly throughout the summer. Please let your District Success Manager know if your district plans to roster summer school classes.
3. The rostering process does not automatically create Khan Academy accounts for users
-
If there is an existing Khan Academy account that matches the user's rostered email address and/or Clever/ClassLink ID:
- That Khan Academy account likely will be automatically "activated" and receive the roster information from Clever or ClassLink on it.
-
If there is not a matching Khan Academy account:
- Users will need to go through the activation process.
- This process prompts users to either create a new Khan Academy account with their district-synced email address, or log into their existing personal Khan Academy account which they will now also use as their district-synced account.
-
4. Once the Clever and ClassLink data syncs with Khan Academy, classes and student rosters are updated automatically
-
On these classes you'll see:
- The "District Synced" label
- How many students in those classes have activated their Khan Academy accounts.
Below is some additional information about Khan Academy Districts classes and accounts:
- Teachers cannot add or remove students from district-synced classes.
- Teachers cannot edit district-synced students' display names on Khan Academy.
- The Google Classroom integration cannot be used on a district-synced class.
- Students cannot remove district teachers or classes from their Khan Academy accounts.
