Khan Academy + Clever set-up guide
Syncing your organization’s Student Information System data with Clever is quick and easy.
First, ensure your district is set up on Clever. Get started by clicking this link: https://apps.clever.com/signup
Prepare your district’s Student Information System to sync with Clever
Once your district is set up on Clever, please ensure your SIS meets the requirements for the below categories:
- Clever sections:
Sections in Clever are rostered as classes on Khan Academy. Ensure that the sections in the SIS reflect the classes your district wants to roster for the current term.
- Teacher email address:
Khan Academy uses the teacher’s email address as an identifier to give teachers access to their correct district account. Ensure that each teacher has an accurate district email address in the SIS.
- Student email address:
Khan Academy uses the student’s email address as an identifier to give students access to their correct district account. Ensure that each student has an accurate district email address in the SIS.
- Student date of birth:
Khan Academy has two levels of permissions for student accounts under FERPA and NY Section 2-d regulations. Students under 13 have limited permissions on discussion posts and computer science projects. Students over 13 do not have these limitations. Ensure all students have a date of birth in the SIS that is shared with Clever.
- Student enrollments:
Ensure that students are enrolled in at least one section. Students must be enrolled in at least one section to activate their Khan Academy Districts account.
- Administrators in Clever:
Add administrators as staff in Clever to give access to the administrator dashboards in Khan Academy.
- Co-teachers:
Classes can contain one primary teacher and up to nine co-teachers. This needs to be set up in your SIS to sync with Clever. Contact your SIS provider with questions about setting up co-teachers.
Please note: co-teachers will not show up on all the Khan Academy Administrator reports.
- Co-teachers are not shown on the Progress Reports, or downloadable csv reports.
- If you use block scheduling with multiple teachers teaching the same group of students, we recommend giving each teacher their own Khan Academy class, rather than the teachers all sharing one class.
Authorize Khan Academy in Clever
You will then receive an invitation from Khan Academy to begin sharing data. You can accept this invitation via an email that you’ll receive or from your district’s Clever dashboard.

Set sharing rules
Sharing the correct teachers, students, and admins ensures that the correct data flows from your SIS to Khan Academy.
We recommend:
- Sharing by section grade levels and subject.
- Adding a sharing rule to share staff and give individuals access to the admin dashboards on Khan Academy.
- Below is a screenshot of a recommended sharing rule. Please note that:
- Only the applicable grades and subjects that will be using Khan Academy are shared
- Staff roles of those who should receive access to the Administrator dashboard have been added
Considerations
Teachers or students with more than one email address:
- District users will activate their accounts using a district email address. If your teachers or students have more than one email address, please inform our rostering operations team as early as possible so we can develop an activation plan.
Avoid oversharing section data in Clever:
- Please only share data for sections (classes) that will be included in Khan Academy’s implementation for your district.
- When setting sharing rules in Clever, please ensure that elective classes like P.E., Art, Chorus, and Band are not included. Rostering these sections will confuse teachers who likely won’t use Khan Academy as part of their instruction.

Student Grade Levels: Please note: Students who are rostered in grade levels outside the standard K-12 range, such as grades 13, 14, or PostGraduate, their grade level will be shown as "Other" in Khan Academy reports.
