Hi All,

As discussed many times in earlier posts, many of us used the grid view extensively and are missing it. To cater for my school's needs, I've written an Excel Spreadsheet tool that allows you to create a grid view from downloaded data.

The spreadsheet can be downloaded at bit.do/KhanGrid

To use the tool:

Open the downloaded spreadsheet from the link above. Enable macros and save it somewhere convenient on your computer
In the "Skills selection" sheet, name any preset lists that you want to use in the top row. For each list of skills, number the corresponding skill in that column. The numbers will be used to sequence the skills in the output grid. You can have as many lists as you like - just fill in extra columns. Two sample lists are provided to show you how it works. You can sort the page however you like - the program will still work.
Download the Khan Academy data file from the progress -> skills page of the coach dashboard.
Open this file and select all the data, copy and paste into the "Raw Data" worksheet of the grid generation tool.
Press the purple button on the raw data page
A dialogue box will appear, offering you the choice of your preset skills lists. You can also opt to show the mastery number for each student/skill combination (codes explained below)
A grid should then be generated for the class according to your selected skills.
Copy this grid elsewhere if you need a copy for later reference as it is overwritten every time the code is run.

Mastery number codes:

-1 = struggling (red)
0 = needs practice (grey)
1 = practised (very light blue)
2 = level 1 (light blue)
3 = level 2 (mid blue)
4 = mastered (dark blue)
5 = skill not found in data set (yellow) (this usually indicates that the wrong mission was selected for download)

My team and I use and love this spread sheet. I have two questions:

1. If I find a practice topic that isn't given in your list, what's the best way to add it? I know that sometimes the name on the Khan practice page is slightly different than what appears on in the web address.

Here's an example: Comparing z-scores isn't in your list of topics but is practice topic.

2. When using the spreadsheet, the PASTE button in the raw data sheet in Excel keeps getting smaller. If it started as the size of my thumb print, it's now down to smaller than the tip of a pencil eraser. Weird, I know. Any advice?

Hi Cate,

I'm happy to hear that the spreadsheet is helping out beyond my own classroom.

In answer to your questions:
1. This is a 2-part problem. In theory, you can just add any new skill to the bottom of the list in the first column and then select it (paste exactly - it's case-sensitive). Feel free to sort the sheet so that those skills are in alphabetical order to make them easier to find in future.
  
  That said, it won't help because that skill isn't part of the data set that you download. As far as I can tell, the "world of math" mission is defined as the collection of all other missions. This explains the excessive duplication of skills in many of the internal Khan Academy reports. Unfortunately, some skills appear not to be included in any mission and are therefore also excluded from the WOM mission and the data you download for it. There are quite a few skills like this, often the ones at the top/end of sequences, which is most annoying when I use them to check understanding of a module.
2. I've never seen that problem before. If the spreadsheet cells also shrink then it's a zoom issue so look under the "view" menu or the slider at the bottom-right of your screen.
  
  If the cells are unchanged then you will need to go into "Design Mode". This is on the Developer Ribbon, which you will need to enable/display (instructions here: https://excelribbon.tips.net/T006747_Displaying_Excels_Developer_Tab.html). Once you can see the developer ribbon, you can click the "Design Mode" button and then resize or move the Purple Button as you wish. Click the "Design Mode" button again to return to normal behaviour (and save the changes).
